Terms of Service
Last updated: 14 August 2026 · ERPForge is operated by KOLO AUSTRALIA PTY LTD, ABN 73 652 827 337 ("we", "us"). By using erpforge.app, a demo, or a subscription, you agree to these terms.
1. What we provide
ERPForge is managed hosting for Odoo Community Edition: we provision, secure, back up, and maintain a private Odoo instance for your business on your own subdomain. Odoo Community Edition is open-source software (LGPL v3) built by Odoo S.A. and its community. We are an independent hosting provider and are not affiliated with, or endorsed by, Odoo S.A.
2. Free demos
- Demo instances are free, require a verified business email, and expire 72 hours after creation, at which point the instance and its data are deleted. We keep a final backup snapshot for 7 days after expiry; reply to any of our emails within that window to have it restored.
- One active demo per email address. Demos are for evaluating the service — not for production use.
- We may remove demos that break the acceptable-use rules below or strain shared capacity.
3. Subscriptions and billing
- Plans are billed monthly in advance, in Australian dollars, plus GST, at one flat price per plan — never per user. Payment is processed by Stripe; we don't see or store your card details.
- When you subscribe, your demo becomes your production instance — same address, same data.
- You can cancel anytime via the billing portal or by emailing us; cancellation takes effect at the end of the paid period. We don't offer pro-rata refunds for partial months, except where Australian Consumer Law requires otherwise.
- If payment fails, nothing is switched off automatically — we'll contact you. If an account stays unpaid for 30 days after we've reached out, we may suspend and eventually delete the instance (with prior notice and a final backup offer).
4. Fair use — users and storage
Plan limits (users and storage) are fair-use guidelines, not technical lockouts. Nothing gets disabled when you cross one; we'll simply get in touch about moving to the plan that fits. Sustained use far beyond your plan after we've talked may lead us to require an upgrade or, as a last resort, end the service with notice.
5. Your data
- Your data is yours. You can export it anytime with Odoo's built-in tools, and we'll provide a full database backup on request.
- We back up every instance nightly and keep backups for 7 days. Backups are a safety net, not an archival service.
- If you leave, we'll hand over a final backup on request, then delete your instance and data.
6. Acceptable use
Don't use ERPForge to break the law, send spam, host malware or infringing content, mine cryptocurrency, or attack other systems. Don't attempt to access other customers' instances or our infrastructure. We may suspend instances that do, and will tell you why.
7. Availability and support
We work hard to keep instances up (isolated containers, health checks, nightly backups), but Starter and Business plans come without a formal uptime guarantee — service-level agreements are available on Custom plans. Planned maintenance is announced in advance where practical. Support is by email (priority on Business).
8. Liability
To the extent permitted by law, our total liability for any claim is capped at the fees you paid us in the 3 months before the claim, and we're not liable for indirect or consequential loss (including lost profits or lost data beyond our backup obligations above). Nothing in these terms excludes rights that cannot be excluded under Australian Consumer Law.
9. Changes and termination
We can update these terms with 30 days' email notice for material changes; continuing to use the service after that means you accept them. Either side can end the service: you by cancelling, us with at least 30 days' notice (immediate only for serious acceptable-use breaches or legal necessity) — always with the data-handover process in section 5.
